Job Summary
Provide administrative, coordination, and food hygiene support to the Culinary operation. Maintain accurate culinary and food safety records, assist with departmental administration, monitor hygiene documentation, and support compliance with company standards, HACCP requirements, local regulations, and property procedures.
The Hygiene & Culinary Administration Supervisor works closely with the Executive Chef, Culinary leaders, Stewarding, Purchasing, Receiving, Engineering, Human Resources, and other departments to ensure smooth administrative operations and consistent food safety and hygiene standards.
Candidate Profile Education and Experience
- High school diploma or equivalent and relevant experience in culinary administration, food safety, hygiene, hospitality administration, or a related field.
- OR
- 2-year degree from an accredited university in Hospitality Management, Culinary Arts, Food Science, Food Safety, Business Administration, or a related major.
- Previous experience in a luxury hotel or resort environment is preferred.
- HACCP, Food Safety, or Hygiene certification is preferred.
Core Work Activities Supporting Culinary Administration
- Provide administrative support to the Executive Chef and Culinary leadership team.
- Maintain departmental files, correspondence, reports, trackers, schedules, and records.
- Assist in preparing culinary duty rosters and staffing schedules.
- Support attendance, vacation, leave, and manpower tracking.
- Coordinate culinary meetings, prepare agendas, record minutes, and follow up on action items.
- Prepare presentations, reports, notices, memos, and operational documents.
- Maintain culinary standard operating procedures, recipes, forms, and department documentation.
- Support preparation of purchase requests, requisitions, and other administrative documents.
- Maintain records related to kitchen equipment, uniforms, tools, and departmental assets as required.
- Coordinate departmental administrative requests with Human Resources, Finance, Purchasing, and other departments.
Supporting Food Hygiene and Safety Compliance
- Maintain food safety, hygiene, sanitation, and HACCP documentation.
- Ensure required hygiene records are complete, accurate, and properly filed.
- Monitor temperature logs for refrigerators, freezers, cooking, cooling, reheating, hot holding, and food receiving.
- Maintain records related to cleaning schedules, sanitation, pest control, food sampling, laboratory results, and corrective actions.
- Support monitoring of food labeling, date coding, storage procedures, and FIFO/FEFO requirements.
- Assist in ensuring food is stored, prepared, transported, and served according to required hygiene standards.
- Report hygiene concerns or potential food safety risks to the appropriate manager.
- Support preparation for internal and external hygiene audits and inspections.
Conducting Operational Hygiene Follow-Up
- Conduct or support routine hygiene checks in kitchens, storage areas, receiving areas, stewarding areas, and food handling locations.
- Monitor cleanliness and sanitation standards.
- Follow up with Culinary and Stewarding teams on outstanding hygiene observations.
- Track corrective and preventive actions and ensure timely closure.
- Report repeated or serious non-conformities to management.
- Assist in monitoring personal hygiene and grooming requirements for food handlers.
- Support safe handling and storage of cleaning chemicals.
Maintaining Regulatory and Certification Records
- Maintain records of food handler certificates, medical requirements, health cards, permits, and other required documentation.
- Monitor expiry dates and coordinate renewals where applicable.
- Ensure required certificates and records are available for inspections.
- Assist with documentation requested by local authorities, auditors, or third-party inspectors.
- Maintain accurate electronic and hard-copy files.
Supporting Food Safety Training
- Coordinate hygiene, HACCP, allergen awareness, sanitation, and food safety training.
- Maintain training attendance records and certification files.
- Follow up with associates on outstanding mandatory training.
- Support preparation of training materials and awareness communication.
- Assist in conducting food safety briefings and refresher training.
- Promote strong food hygiene awareness within Culinary and Stewarding teams.
Supporting Culinary Manpower Administration
- Maintain updated culinary associate records.
- Assist with tracking attendance, schedules, vacation plans, sick leave, and other departmental manpower information.
- Coordinate onboarding administrative requirements for new Culinary associates.
- Support collection and maintenance of associate documents as required.
- Coordinate with Human Resources regarding departmental employee documentation and training records.
- Maintain confidentiality of associate information.
Coordinating With Other Departments
- Liaise with Purchasing and Receiving regarding supplier documentation, food deliveries, specifications, and food safety requirements.
- Coordinate with Engineering regarding maintenance issues that may impact hygiene or food safety.
- Work closely with Stewarding regarding sanitation, cleaning schedules, pest control, and chemical management.
- Coordinate with Human Resources regarding medical requirements, certifications, and training.
- Support communication with Quality, Loss Prevention, Finance, and other relevant departments.
- Assist with follow-up on external supplier, laboratory, pest control, or audit requirements.
Follow All Company Policies and Procedures
- Follow all company and property policies and procedures.
- Maintain confidentiality of proprietary and associate information.
- Protect company assets.
- Report accidents, injuries, unsafe work conditions, hygiene concerns, and food safety incidents to management.
- Complete required safety and food hygiene training.
- Maintain professional appearance and behavior.
Safety and Security
- Follow all food safety, health, safety, sanitation, and security procedures.
- Use appropriate personal protective equipment when required.
- Follow safe handling requirements for food, chemicals, equipment, and cleaning materials.
- Report food contamination risks, pest activity, unsafe conditions, or hygiene concerns immediately.
- Support emergency food safety and contamination response procedures.
Communication
- Speak and write using clear and professional language.
- Prepare accurate reports, emails, meeting minutes, and departmental correspondence.
- Communicate food safety and hygiene requirements effectively.
- Answer telephone calls and respond to departmental inquiries professionally.
- Maintain clear communication between Culinary leadership and supporting departments.
Working With Others
- Develop and maintain positive working relationships with associates.
- Support Culinary and Stewarding teams to achieve operational and hygiene standards.
- Work collaboratively with other departments.
- Handle confidential and sensitive matters professionally.
- Support associates in understanding hygiene requirements and departmental procedures.
Quality Assurance / Quality Improvement
- Monitor departmental administrative processes for accuracy and compliance.
- Assist in identifying recurring hygiene issues and improvement opportunities.
- Maintain corrective action trackers and follow up with responsible departments.
- Support audit preparation and closure of audit findings.
- Recommend improvements to record keeping, administrative processes, and hygiene monitoring.
- Ensure required documentation is completed consistently.
Computers / Office Equipment
- Use Microsoft Word, Excel, PowerPoint, Outlook, and other property systems.
- Maintain electronic filing systems and databases.
- Prepare reports, schedules, trackers, and presentations.
- Enter and retrieve information using computer systems accurately.
Physical Tasks
- Move through kitchens, receiving areas, storage rooms, stewarding areas, and other operational areas to perform inspections and follow-up.
- Stand or walk for extended periods as required.
- Use computers and office equipment for extended periods.
- Move, lift, carry, push, pull, and place objects of light weight as required for normal administrative duties.
- Perform other reasonable job duties as requested by Supervisors or Managers.
