Job Description

We are seeking an enthusiastic and detail-oriented Administration Assistant to join our Client Services team on a casual basis.

Reporting to the Operations Manager and Team Leader, you will coordinate and deliver a range of high-quality, client-focused administrative support services that contribute to the efficient delivery of independent medical assessments.

Your key responsibilities will include:

  • Prepare, maintain, file and scan examinee records with a high level of accuracy and attention to detail.
  • Provide comprehensive administrative support, including document management, appointment coordination, and consulting room setup and closure.
  • Perform reception duties, including patient check-in and check-out, responding to consultant enquiries, and providing general office support.
  • Build and maintain professional and effective relationships with internal and external stakeholders, including medical consultants, clients, examinees and colleagues.
  • Contribute to the professional presentation and smooth day-to-day operation of the office.
  • Support the Operations Manager and Team Leader with general administrative duties as required.

Qualifications

To be successful in this role, you will have:

  • Excellent administrative skills and a strong attention to detail.
  • Demonstrated experience delivering customer-focused administrative processes and services.
  • Experience working in a medical or legal practice, or within claims or injury management environments (desirable).
  • Strong organisational skills, with the ability to effectively prioritise competing tasks.
  • Excellent verbal, written and interpersonal communication skills.
  • Proven ability to build relationships and manage multiple stakeholders.
  • A high level of professionalism, discretion, and commitment to confidentiality and data protection.
  • Proficiency in Microsoft Office applications and strong computer literacy.
  • The ability to work independently while contributing positively to a team environment.
