Finance and Administration Assistant

The Finance and Administration Assistant is a business professional responsible for day-to-day finance transactional processing, accounting assistance and a range of business administration duties. The role provides an opportunity to build practical experience, with the potential to develop over time into broader finance and administration responsibilities. Working under the direction of senior finance and payroll staff, the Finance and Administration Assistant helps ensure financial information is accurate and processes are completed in a timely manner. This role suits a highly organised and detail-oriented person with an interest in finance.

The position is permanent part time - 30 hours (4 days) per week.

Key Responsibilities

Accounts Payable and Receivable:

  • Process Accounts Payable (AP) and Accounts Receivable (AR) transactions and related activities, ensuring all assigned tasks are completed accurately and in accordance with agreed processes and timeframes.
  • Ensure accurate transaction coding and follow all internal processes and delegation of authority approval limits.
  • Assist with the management of debtor records and collection follow-up.
  • Complete routine bank reconciliations and assist with investigating unreconciled transactions and variances.
  • Identify and escalate accounts processing issues and transaction discrepancies.
  • Respond to customer, supplier and internal queries in a timely and professional manner.

Finance Assistance:

  • Complete all required month end tasks in accordance with the agreed schedule.
  • Assist with month end activities under the direction of the accountant.
  • Assist with BAS preparation.

Payroll Assistance:

  • Assist with timesheet processing.
  • Assist with payroll activities under the direction of the payroll manager.

Administration:

  • Perform reception duties, including answering phones, greeting visitors and managing deliveries.
  • Provide general office administration support.

General:

Requirements

Qualifications:

  • A vocational qualification in accounting, business administration, bookkeeping, or a related field (Certificate IV, Diploma or equivalent).
  • OR a recent university graduate with a degree in business, commerce, or similar.

Essentials Skills, Competencies and Experience:

  • Some demonstrated experience in AP and/or AR.
  • Interest in finance and payroll.
  • Tech savvy with strong ability to learn new computer systems.
  • Competent in Excel.
  • Ability to prioritise work and meet deadlines.
  • Highly organised with strong attention to detail.

Desirable Skills and Experience:

  • Experience with Accounting/ERP systems such as Microsoft Business Central.

Benefits

Salary range (dependent on level of experience):

  • FTE $62,000 to $70,000 + super, pro rated for part time hours.
