Our Automotive Workshop Team in Barbados is seeking an Equipment & Inventory Administrator to join our team in Barbados. In this position, you will be responsible for managing, cataloguing, tracking, and maintaining all workshop tools, equipment, and assets across the Automotive and Commercial Workshops. You will ensure accurate inventory records, proper tool identification and storage, asset accountability, and timely reporting of damaged, missing, or defective equipment. The role will also support the implementation and ongoing management of the Toolroom Software and Cintellate Asset Management System to strengthen tool control, inventory accuracy, and overall workshop efficiency.
What you’ll do:
- Identify and catalogue all serviceable tools, equipment, and workshop assets used by the Automotive and Commercial Workshops.
- Maintain and update accurate records of all workshop assets, including tools, equipment, vehicles, and consumables, in coordination with the HSE Coordinator, ensuring all required information is validated and correctly entered into Cintellate Asset Management System.
- Complete the required daily HSE Cintellate forklift inspection each morning and support HSE requirements for the safe storage, handling, inspection, and use of workshop tools and equipment.
- Ensure all tools and equipment are appropriately barcoded, labelled, recorded, and assigned to their designated storage locations, maintaining accurate asset accountability.
- Conduct monthly Toolroom stock counts covering Automotive tools, Commercial tools, Special tools, and spare items, reconciling records and addressing discrepancies as required.
- Regularly inspect and assess tools and equipment, promptly reporting damaged, defective, missing, or repair/replacement requirements to the Technical Operational Lead within 24 hours, while providing recommendations for improvement.
- Support technicians by promptly issuing and accounting for tools, while ensuring all workshop tablets are fully charged and ready for use at the start of each shift.
- Maintain secure control of the Toolroom by ensuring it remains locked when unattended and restricting access to authorised personnel, with appropriate approval required for entry by technicians or other unauthorised persons.
- Maintain consistent Toolroom coverage during operational hours from 7:45 a.m. to 4:15 p.m., excluding the designated lunch period.
- Maintain a clean, organised, and professional Toolroom environment, ensuring tools and equipment remain in their designated locations.
- Perform other reasonable and related duties as required by Service Management.
About you
To be successful in this role you will be:
- Qualified with a Bachelor’s Degree in Logistics, Operations Management, Business Administration, or a related discipline; relevant certification or training in inventory, logistics, asset management, or administration will also be considered.
- Bringing 2–3 years’ experience in inventory, asset management, warehouse or Toolroom administration, or within an automotive/commercial workshop environment.
- Possessing a valid Driver’s Licence; a Heavy Duty and/or Forklift Driver’s Licence would be an asset.
- Proficient in inventory management, asset tracking, barcode systems, and computer-based asset management systems.
- Demonstrating strong organisational, administrative, and attention to detail skills, with the ability to accurately catalogue, track, and maintain records of tools and equipment.
- Possessing strong time management, communication, and interpersonal skills, with the ability to work independently and collaboratively as part of a team.
- Demonstrating sound judgment and a strong commitment to workplace safety, tool accountability, confidentiality, and maintaining an organised work environment.
