Key Responsibilities

  • Manage residential real estate transactions from contract execution through
  • closing for both acquisition and resale transactions.
  • Review purchase and sale agreements, amendments, disclosures, and other
  • contractual documents to ensure completeness, accuracy, and compliance with
  • company policies and legal requirements.
  • Review executed purchase contracts and confirm all required documentation has
  • been received.
  • Coordinate with Listing Agents, Resale Advisors, buyers, sellers, title companies,
  • lenders, notaries, attorneys, and internal business partners to ensure all transaction
  • milestones are met on schedule.
  • Prepare properties for listing by coordinating listing documentation, reviewing
  • listing packages, and ensuring all required information is complete before properties
  • are marketed.
  • Monitor title-related activities.
  • Coordinate document execution, including notary appointments and wet-sign documents when required
  • Coordinate the listing process from Coming Soon through Closing.
  • Review listing packages for completeness and obtain required approvals before properties are listed.
  • Support Listing Agents and Resale Advisors by preparing, reviewing, and facilitating the execution of listing agreements, disclosures, amendments, and other contractual documents throughout the transaction lifecycle.
  • Maintain accurate transaction records and update internal systems to reflect the current status of each transaction.
  • Review closing documents, Seller HUD/Closing Disclosure, seller eDocs, executed closing packages, and verify closing cost entries prior to funding.
  • Coordinate close date extensions, document processing, and seller proceeds wire instructions to support successful closings.
  • Verify MLS information, pricing, disclosures, photographs, and marketing documentation for accuracy prior to publication.
  • Assist with price changes, active listing maintenance, and expiration management.

Job Requirements
Minimum Requirements:

  • • Currently pursuing or have completed a bachelor's degree in Business
  • Administration, Real Estate, Finance, Legal Studies, or a related field.
  • • Minimum of 2 years of back-office, transaction coordination, administrative
  • operations, or related experience.
  • • English proficiency at B2+ (Upper-Intermediate) or higher, with strong verbal
  • and written communication skills.
  • • Strong organizational and time management skills, with the ability to manage
  • multiple transactions simultaneously.
  • • Ability to work effectively in a fast-paced environment while meeting
  • deadlines, service level agreements (SLAs), and Key Performance Indicators
  • (KPIs).
  • • Detail-oriented with a high level of accuracy when reviewing documentation
  • and maintaining transaction records.
  • • Proactive mindset with the ability to identify issues, prioritize tasks, and
  • follow through with minimal supervision.
  • • Proficiency in Microsoft Office Suite (Excel, Outlook, Word) and the ability
  • to quickly learn new systems and transaction management platforms.

Preferred Qualifications:

  • • Experience in residential real estate transactions, title, escrow, mortgage,
  • property management, or transaction management.
  • • Experience working in a metric-driven environment with productivity and
  • quality performance goals.
