We currently have an exciting opportunity for a dynamic person to join our Member Firm Internal Services Department - Operations as an Administration & Security Officer. This position will be based in our Blantyre office in Malawi.

Job Description

Reporting to the Regional Senior Manager, the successful candidate will ensure effective administrative, facilities and security services across Malawi by overseeing general office administration, workplace security and safety, and improving facility management standards.

What you will do

Administration

  • Oversee office & facilities management to ensure the office and its contents are maintained to agreed standards, with timely, cost‑effective repairs and maintenance.
  • Manage workplace health, safety and cleanliness, and ensure staff complete mandatory H&S/security training.
  • Supervise and develop support services staff (messengers, cleaners, drivers, reception, catering), including coaching, performance appraisal and rota management.
  • Manage procurement, asset and capex activities: negotiate purchases, control spend against approved budgets and deliver capex projects to scope and budget.
  • Ensure effective delivery of office support services (telephone, messenger, reception/switchboard, filing) within firm policies and service standards.
  • Maintain compliance with global, regional and local statutory/regulatory and internal requirements (licences, audits, policy reviews, ISO and statutory audits).
  • Support risk management, business continuity and stakeholder events (audits, trainings, client meetings, rollouts), collaborating across departments to enable smooth operations.
  • Support the Senior Manager with operational budgeting, forecasting, monitoring and cost control; perform any other duties as assigned.

Security

  • Lead prompt response and thorough investigations of security incidents, ensuring timely remediation and implementation of recommendations to protect people and assets.
  • Drive continuous risk reduction by proactively identifying vulnerabilities and applying effective mitigation measures to minimise incident occurrence and severity.
  • Maintain the reliability and readiness of physical security systems and oversee vendor performance to ensure robust site protection.
  • Ensure compliance with organisational security policies, audit requirements and preparedness standards through regular reviews, testing and corrective actions.
  • Deliver security training, liaise with local authorities and provide clear, timely reports to senior management to support informed decision‑making.

Qualifications

  • A bachelor’s degree in business administration or related discipline. A Security Management or Criminal Justice qualification is an added advantage.
  • At least five (5) years relevant work experience.
  • Proactive, resourceful and customer-focused with a solution-oriented mindset.
  • Discreet and trustworthy with a strong sense of confidentiality and corporate responsibility.
  • Team player with the ability to work independently and support multiple stakeholders.
  • Flexible and adaptable to changing priorities and occasional extended hours when required.

Skills and experience

  • Strong organisational and project management skills with the ability to manage multiple tasks, prioritise effectively and meet deadlines.
  • Excellent written and verbal communication skills.
  • Proficiency in using systems, MS Office (Word, Excel, PowerPoint, Outlook).
  • Attention to detail and strong accuracy in document preparation and data entry.
  • Good numerical and financial literacy to manage purchase requisitions and budgeting tasks.
