Budgeting and Reporting Assistant

The Opportunity

Save the Children International is seeking to recruit a Budgeting and Reporting Assistant to support the Planning, Budgeting and Reporting function within the Malawi Country Office. The position will be based in Lilongwe and will report to the Budgeting and Reporting Coordinator – Planning, Budgeting & Reporting.

The post holder will support the financial management of partnerships and the review of partner financial reports to ensure compliance with donor requirements and Save the Children policies and procedures. The role will also provide financial support for proposal budgeting, annual budgeting, donor and internal reporting, budget monitoring, and monthly Budget Versus Actual (BvA) processes, including financial support to the AICS PROMOSSO Project.

The successful candidate will work closely with Budget Holders, programme teams, partners, and finance colleagues to ensure that financial information is accurate, complete, timely, and compliant with organisational and donor requirements.

To be successful, you will bring/have:

  • A minimum of a Diploma in Finance and Accounting or an equivalent qualification.
  • A degree in Accounting, Finance, or a related field will be an added advantage.
  • At least two years of relevant experience in accounting, finance, budgeting, or financial reporting.
  • Previous experience in the NGO or donor-funded sector will be an advantage.
  • Experience reviewing financial reports, supporting documents, and partner expenditure.
  • Knowledge of budget monitoring, financial controls, and donor compliance.
  • Good knowledge of Microsoft Excel, Word, and PowerPoint.
  • Experience using financial management or accounting systems is an advantage.
  • Strong analytical and problem-solving skills.
  • Ability to work independently, manage multiple priorities, and meet deadlines.
  • High levels of integrity, professionalism, and commitment to preventing fraud and corruption.
  • Strong interpersonal and communication skills.
  • Good written and verbal English.
  • Willingness and ability to travel to project and partner locations when required.

Key Responsibilities Partner Finance and Compliance

  • Review partner financial reports and supporting documentation to ensure that reported expenditure is accurate and properly supported.
  • Support partners to comply with Save the Children and donor financial requirements.
  • Conduct remote and field-based reviews of partner expenditure.
  • Identify financial discrepancies and follow up on corrective actions.
  • Provide guidance and support to partners in preparing financial reports and submitting required documentation.

Project Finance and Payments

  • Prepare and process payments for the AICS PROMOSSO Project in accordance with approved procedures.
  • Review and follow up on advance liquidations, including fuel and activity advances.
  • Ensure that financial transactions are appropriately authorised, documented, and recorded.
  • Maintain accurate and complete financial records.

Budgeting and Reporting

  • Support Budget Holders and programme teams with budget realignments and budget monitoring.
  • Prepare and circulate monthly Budget Versus Actual (BvA) reports.
  • Participate in BvA meetings and follow up on finance-related actions.
  • Support the preparation of the Master Budget, CAP Forecast, First Forecast, and Second Forecast.
  • Prepare financial reports in accordance with donor requirements and agreed reporting deadlines.
  • Provide financial analysis and information to support management decision-making.

General Finance Support

  • Provide accurate financial data and analysis to Budget Holders, programme teams, and field offices.
  • Support proposal budgeting and annual budgeting processes.
  • Assist with donor and internal financial reporting.
  • Provide ad-hoc financial information and analysis as required.
  • Perform any other relevant duties assigned by the Budgeting and Reporting Coordinator.
