Job Responsibilities

Key Responsibilities

As a Proposal Specialist, you will:

• Serve as the primary contact for triaging new RFPs and proposal revisions, assigning them to the appropriate Proposal Team Manager based on therapeutic alignment.
• Conduct initial reviews of RFPs and RFIs to assess service and scope requirements with guidance from senior team members.
• Prepare and distribute confidential allocation communications to proposal teams.
• Create and maintain SharePoint sites for RFPs, RFIs, and proposal revisions, ensuring all required documentation is uploaded and organized.
• Perform CRM/Salesforce data entry, including proposal-specific information and budget details.
• Generate and support experience reports for client-facing use.
• Maintain internal workload tracking and reporting systems.
• Compile, analyze, and distribute daily workload summaries and operational reports.
• Upload and manage internal reports and documentation in SharePoint.
• Support database maintenance, data quality initiatives, and cleanup activities.
• Assist with pricing analytics, resource management reporting, and database queries for senior leadership.
• Provide internal guidance on proposal management processes, procedures, and best practices.
• Contribute to the maintenance and improvement of internal systems and operational processes.

Qualifications

Required

• Bachelor’s degree in business, Life Sciences, or a related field, or an equivalent combination of education and experience.
• Strong attention to detail and commitment to data accuracy.
• Effective written and verbal communication skills.
• Excellent organizational and time-management abilities.
• Ability to manage multiple projects and priorities simultaneously.
• Strong interpersonal skills and the ability to collaborate across departments.
• Proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and SharePoint.

Preferred

• Knowledge of or experience within the CRO, pharmaceutical, biotechnology, or life sciences industry.
• Experience working with CRM platforms such as Salesforce.
• Familiarity with proposal management, RFIs, RFPs, or business development support functions.
