Shipping Clerk 1

The Shipping Clerk 1 will be responsible for managing vessel advance requests and disbursements, tracking revenue, reviewing billing and port charges, following up on outstanding balances, assisting with financial reporting, and coordinating vessel clearance.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Cement and Lumber Landing Charges.
  • Review charges and ensure the Revenue Tracking is updated.
  • Vessel Advance and Disbursements (NYK Line and K line).
  • Cement and Car Vessel Disbursements.
  • Monthly Maintenance Reports.
  • Monthly Receivable Reconciliatio n and collections.
  • Back up check-off – cashier
  • Payroll submission.
  • Prepare the Department’s Monthly Accruals.
  • Record and charge the loading and offloading of equipment from the MV Puerto Real.
  • Based on the shipping industry you will be required to respond to calls and emails in a time after office hours, weekends and holidays. Also, be available to work vessels when necessary for the time stated.
  • Maintain a safe and clean working environment.
  • Respond to all relevant emails in a timely fashion.

BACK UP DUTIES

  • Assist with clearing cargo for TDC AirBox.

  • Assist with Cargo Handling and forklift service jobs.

  • Assist with the charging and invoicing of Haulage, Equipment Rental, Cargo Handling and Puerto Real.

  • Assist with Accounts Payable – Prepare all cheque requisitions for authorization and submit to the Accounts Department.

  • Assist with preparing manifest for car and cement and lumber vessels in Asycuda.

  • Assist with calling car vessel customers and promote Brokerage Service.

  • Assist with Cargo Documentation – EZ Barrell, and AirBox

  • Assist with Monthly Revenue Reports

  • Any other duties assigned.

Requirements

  • Ability to read and interpret documents such as bills of lading and manifests, as well as various maritime terms and conventions.
  • Ability to perform basic mathematical operations using varied units of measure.
  • Ability to calculate figures and amounts such as rate, percentage, discounts, area circumference and volume.
  • Proficiency in Microsoft Word and Excel

PHYSICAL DEMANDS

  • The employee is frequently required to hear and speak. The use of close vision to read forms and other documents will continuously be required. The ability to lift or move heavy objects.
