Required Qualifications (as evidenced by an attached resume):
Bachelor’s degree (foreign equivalent or higher). Two (2) years of full time administrative or higher education experience (student experience may be considered). Experience working with a diverse population of faculty, staff and community organizations.
Preferred Qualifications:
Experience providing customer service in a fast-paced, client or student-centered environment. Experience working with confidential information and maintaining accurate records. Experience responding to urgent situations and making referrals when appropriate. Experience coordinating multiple priorities, scheduling appointments, and supporting outreach activities or special projects. Experience with procurement and purchasing. Experience with Microsoft Office Suite and/or Google applications, including the ability to write and run queries, create electronic forms, and manage data.
Brief Description of Duties:
Reporting to the Assistant Director, the Intake and Registration Specialist guides prospective, newly admitted, and currently enrolled students through the Student Accessibility Support Center's intake and registration processes. The Intake Registration Specialist serves as a primary point of contact for students seeking accessibility services by responding to inquiries, explaining registration procedures, reviewing submitted documentation for completeness, maintaining confidential records, scheduling appointments, and coordinating next steps in the registration process. The Specialist works collaboratively with students, faculty, staff, families, and campus partners to ensure students receive timely, accurate, and compassionate support. The successful candidate will demonstrate exceptional customer service, strong communication and organizational skills, sound judgment, and careful attention to detail while handling highly confidential information. As a member of Student Health, Wellness & Prevention Services, the Intake Registration Specialist actively contributes to a collaborative team environment and supports the mission and goals of the department through teamwork, professional engagement, and student-centered service.
Intake and Registration:
- Guides prospective, new, and currently enrolled students through the Student Accessibility Support Center’s intake and registration processes.
- Engages in ongoing communication with students regarding policies and procedures for requesting accommodations.
- Identifies barriers that may delay the registration process and escalates concerns regarding required disability documentation to the supervisor.
- Thoroughly documents interactions with students in the data management system and uploads all disability documentation and intake related documents to the database system.
Administration Operations:
- Responds to telephone, email, and in-person inquiries from prospective and current students, faculty, staff, and campus partners.
- Schedule appointments for students with Accessibility Support Counselors.
- Assist in identifying urgent or complex student concerns and refer them to the appropriate SASC supervisor or campus resource in accordance with established procedures.
- In consultation with the Assistant Director of Accessibility, Testing, and Operation Services, reviews disability documentation for completeness and alignment with SASC documentation guidelines, identifies missing or additional information needed, coordinates follow-up with students, and prepares documentation for eligibility and accommodation review.
- Maintains student’s information with strict adherence to the protection and confidentiality of all student records and in accordance with the Family Educational Rights and Privacy Act (FERPA).
- Assists with data management, electronic forms, reporting, and workflow processes that support departmental operations.
- Supports departmental administrative functions, including purchasing, event coordination, and special projects, as assigned.
Training and Support:
- Coordinate and schedules student assistants supporting front office and intake operations.
- Supports the Keyboard Specialist’s daily front desk operations, including providing guidance, coordinating responsibilities, monitoring workflow, and ensuring consistent and effective service to students, families, and campus partners.
- Assists with the recruitment, onboarding, and training of student assistants.
- Provides ongoing guidance, training, and day to day support of student assistants.
- Assists in developing and maintaining training materials and standard operating procedures for student staff.
Professional Development and Committee Involvement:
Participates in professional development opportunities including training, workshops, webinars, committees, and conferences.
Supports the Division of Student Affairs and Stony Brook University by attending and/or supporting events, activities, and programs sponsored by areas outside of your department (e.g., campus-wide traditions, events, programs, etc.).
Other duties or projects as assigned as appropriate to rank and departmental mission.
Evening and weekend work may be required at times.
Special Notes:
This is a full-time appointment. FLSA Non Exempt position, eligible for the overtime provisions of the FLSA.
Salary: $60,000 + $4,000 Location Pay = $64,000 Total Compensation
In addition to the employee's base salary, this position is eligible for $4,000 UUP annual location pay, paid biweekly.
Essential Position: This has been designated as an essential position based on the duties of the job and the functions performed. Positions that are designated as such may be required to report to work/remain at work even if classes are canceled, and the campus is working on limited operations in an emergency.
