The Prince George’s County Office of the State's Attorney is currently seeking qualified applicants to fill an Administrative Aide 1 gradeG13 position, in the Youth Justice Division.

About the Position

This is an entry level position that handles and coordinates a variety of complex administrative functions and activities within an assigned Unit. Prepares letters, memorandums, reports, labels, envelopes, subpoenas, motions, court orders, petitions, writs and other legal documents from case files, handwritten copy and verbal instructions from assigned Assistant State's Attorneys. Prepares subpoenas for witnesses and police officers for court hearings in accordance with established procedures.

The State's Attorney's Office (SAO) is responsible for serving nearly one million residents of Prince George's County. The SAO's legal department is divided into multiple divisions, each of which has jurisdiction over different facets of criminal law.

Examples of duties

  • Utilizes the computer terminals and all accesses available, pertinent to the operations of the Division and the criminal justice system. Enters, modifies and deletes pertinent felony case information on CJIS network.
  • Operates Computer (PC) providing additional flexibility in up-dating case work and other written materials for attorneys' signature; determines and utilizes appropriate formats.
  • Receives calls from the general public, victims, witnesses, concerned citizens, attorneys, police officers, Federal , State, and local government agencies, District and Circuit Court offices and Judiciary.
  • Completes all tasks within prescribed time limitations as dictated by the judiciary, various departmental procedures, and other mandates.
  • Prepares appropriate copies of all discovery material in each criminal case; assembles and disseminates all essential paperwork to entered defense attorney.
  • Identifies cases handled by the Public Defender's Office and provides a copy of all discovery letters in those cases for accurate billing by our Administrative Division to that agency.
  • Manages CT felony case files appropriately; accurately documents completion of all case related paperwork on case jacket.
  • Exercises appropriate discretion and good judgment in determining type of information to be furnished upon request; always complies with State mandated guidelines.
  • Establishes standardized Office files and maintains daily.
  • Determines priority of work; willingly accepts and completes emergency work.
  • Welcomes visitors in a courteous and professional manner. Directs visitors promptly to appropriate personnel, after verifying their availability.
  • Performs these tasks and duties willingly and cooperatively and as needed.

Qualifications

Minimum Qualifications

Candidates must meet all minimum qualifications listed below to be eligible for additional consideration:

  • High school diploma or G.E.D. certificate with coursework in typing, office practices or other related clerical subjects.
  • One (1) year of advanced diverse and/or technical clerical experience which must have involved working with the public for at least six (6) months.

Any equivalent combination of relevant training, education and experience may also be considered.

Preferred Qualifications

  • Skill in the operation of a variety of standard office software and equipment. Skill in organizing and maintaining files and other office documents.
  • Skill in reviewing documents for accuracy and completeness.
  • Ability to perform responsible secretarial duties which may include taking and transcribing of oral dictation. Ability to compose correspondence with only general instructions.
  • Ability to communicate effectively with County, citizens, co-workers, vendors, and others.

Additional Eligibility Criteria

Candidates deemed as meeting the minimum qualifications will be invited to complete and pass an online Administrative Aide examination. Applicants who have previously taken and passed the exam on or after 8/1/2024 will not be required to re-test. Previous passing test scores will be applied.
