The Washington State Department of Corrections is seeking a highly motivated and qualified individual for the Office Assistant 3 position at the Stafford Creek Corrections Center in Aberdeen, WA.

The mission of Stafford Creek Corrections Center Health Services Department is: To provide necessary, comprehensive, quality health services to incarcerated individuals assigned to Stafford Creek Corrections Center and to promote their wellness in preparation for return to the community.

Under the direct supervision of the Health Services Manager 2, this incumbent supports that mission by being responsible for the requisition, issue, and maintenance of supplies for the Health Services Unit. This incumbent also performs other delegated clerical duties as assigned/needed as a positive member of an overall team of Correctional Health Services Support Staff.

Examples of duties

Requisition of all medical and clerical supplies needed to run the OPU/IPU clinics:

  • Requisition, issue and maintenance of all supplies for the Health Services Unit.
  • Create callout for individuals who need to receive supplies, to include resolving those appointments.
  • Ensure supply and equipment requirements are fulfilled for the Health Services Unit.
  • Manage requisitions, installation, maintenance and removal of medical and office equipment.
  • Store and distribute new equipment.
  • Maintain an adequate inventory of all medical and office supplies receiving and obtaining supplies from designated vendors.
  • Organize and conduct annual, quarterly and monthly reviews of supply inventory.
  • Monitor daily count of syringes, needles and hazardous instruments to ensure accuracy.
  • Perform physical count once a week.
  • Maintain storage and disposal of surplus or damaged equipment and supplies.
  • Email inquiries as well as handle calls and inquiries within approved area of authority.

TRACKS, Purchase Requests (PR), Purchase Orders and SITRs:

  • Prepare, reviews, verifies and processes fiscal documents such as vouchers, purchase requests and invoices.
  • Receive and audits inventory.
  • Reviews and verifies fiscal reports for accuracy, investigates and corrects errors to ensure compliance with established DOC and SCCC procedures and policies.

Establishes and maintains electronic databases (or filing systems):

  • To support supply control, establish and maintain complex electronic or manual file systems or database files.
  • Prepare and review purchase requisitions for processing.
  • Reconcile invoice pricing, quantity and delivery discrepancies as they apply to corresponding purchase orders.
  • Process change orders, notify vendors of product and quantity requirements revision and receipt of incorrect products.

Other duties as assigned:

  • High School Diploma or equivalent
  • Two (2) years of clerical experience
