About the Role

We are seeking a proficient Compensation and Benefits (C&B) Officer to join our team. The ideal candidate will excel in executing and optimizing compensation and benefits programs to ensure accuracy, competitiveness, and compliance. This role plays a key part in employee data, payroll and contract management, social insurance contribution, and supporting reward strategies that align with company policies and market practices. Strong attention to detail, ability to handle confidential information, good analytical and reporting skills (Excel/HRIS) are essential for success in this multifaceted role.

Reports functionally (where applicable) to: Director of Human Resources and Employee Wellbeing

Roles and Responsibilities

The roles and responsibilities of the Compensation and Benefits Officer includes but is not limited to:

1. Employee Data & Payroll Management

  • Manage the employee personnel database on the HRIS system and in Excel, covering employee information, working history, leave history, contract renewals, probation appraisals, job transfers, leave & overtime applications, and terminations.
  • Issue HR reports as required by management or relevant departments.
  • Develop and maintain the process for managing employee profiles, both online (HRIS) and hard-copy documents, ensuring proper storage, updating, and retrieval.
  • Prepare monthly payroll input data for local and expatriate employees, including timekeeping, leave, overtime, allowances, and other salary-related adjustments.
  • Process monthly payroll for both local and expatriate employees using both Excel and HRIS, ensuring accuracy by reconciling manual calculations against the HRIS payroll system.

2. Social, Health & Unemployment Insurance (SHUI) Management

  • Handle SHUI (Social, Health, and Unemployment Insurance) registration and deregistration, and submit monthly increase/decrease reports for local and expatriate employees/visiting faculty/TA to the Social Insurance Authority.
  • Handle SHUI benefit claims, including sickness, maternity, and occupational accident/disease regimes.
  • Manage and respond to monthly notifications from the Social Insurance Authority.
  • Prepare documentation and reports for SHUI audits/inspections conducted by the authorities.
  • Manage social insurance books and leaflets, and hand over these documents to employees upon request or termination.

3. Contract Management

  • Manage labour contracts for full-time employees, including new contracts, contract renewals, appendices, decisions, promotions, transfers, and salary adjustments.
  • Track contract expiry dates and proactively notify relevant parties ahead of renewal deadlines.
  • Maintain organized contract records, both in the HRIS system and hard-copy filing.

4. Administration

  • Provide general guidance on HR policies, procedures, and services to employees, verbally, via email, or through the HR internal mailbox, referring queries to other HR staff as appropriate.
  • Support the development of C&B and reward policies, guidelines, and forms, while helping to improve internal processes for greater consistency and effectiveness.

4. Other Duties

  • Maintain confidentiality and professionalism in all situations.
  • Participate in general HR activities, employee engagement initiatives, and projects as assigned by the HR Director.
  • Provide recommendations to improve HR services from time to time.
  • Contribute to team efforts by welcoming new and varied work requirements, exploring opportunities to enhance departmental services, and supporting colleagues to achieve shared results.
  • Perform other tasks and responsibilities as assigned by the Company, which may be adjusted from time to time.

Qualifications

What we look for

Education:

  • Bachelor’s degree in Human Resource Management, Business Administration, Law or in a related field.

Employment/Professional Experience:

  • Minimum 2–3 years of relevant experience in Compensation and Benefits, with practical exposure to payroll operations, SHUI (Social, Health, and Unemployment Insurance), and labor contract management.
  • Familiarity with personal income tax (PIT) regulations for local and foreign employees is an advantage. Experience within multinational companies is an advantage.

Competencies - Knowledge, Skills and Abilities:

  • Proficiency in both English and Vietnamese languages.
  • Knowledge of Microsoft Office 365 applications, Human resource software.
  • Knowledge of the Vietnamese labor code, personal income tax regulations and statutory insurance laws and their application at work.
  • Proven ability to manage multiple tasks concurrently, prioritize accordingly and maintain exceptional attention to details.
  • Value and commitment to integrity and confidentiality.
  • Strong customer service, communication, and interpersonal skills, including tact, discretion, empathy, and cooperation.
