Job Description

As Sales Coordinator, you will provide essential administrative and coordination support to the Sales team at Hyde Perth, helping to ensure enquiries, client communications, sales activities, and event opportunities are managed efficiently and professionally.

Working closely with the Director of Sales and wider Sales team, as well as Revenue, Reservations, Marketing, Food & Beverage, and Hotel Operations, you will play an important role in supporting the smooth journey from initial enquiry through to confirmed business and event delivery.

You will be responsible for keeping sales information accurate and up to date, assisting with proposals and quotations, coordinating client requirements, and providing day-to-day administrative support to the commercial team.

KEY RESPONSIBILITIES

Sales Administration & Support

  • Provide day-to-day administrative support to the Director of Sales and Sales team.
  • Prepare and distribute proposals, quotations, presentations, and other sales documentation.
  • Assist with the preparation of contracts, agreements, and other client documentation.
  • Maintain accurate and up-to-date client, account and contact information within the CRM and hotel systems.
  • Assist with maintaining accurate sales activity, pipeline, tentative and confirmed business records.
  • Prepare regular sales reports and assist with tracking sales activity and performance.
  • Assist with diary management, meeting coordination and preparation for client appointments and sales meetings.
  • Assist with internal events coordination.
  • Maintain organised sales files, documents, and records.

Client & Enquiry Coordination

  • Act as a professional and responsive point of contact for clients and prospective customers.
  • Assist the Sales team by responding to Corporate, Leisure, MICE, group, and event enquiries.
  • Gather client requirements and ensure relevant information is accurately captured and communicated.
  • Follow up on outstanding enquiries and proposals as directed by the Sales team.
  • Assist with coordinating hotel site inspections and client visits.
  • Support the Sales team in preparing for client meetings, presentations, and appointments.
  • Assist with post-event and post-stay follow-up and client communication where required.

MICE & Event Support

  • Assist the Sales team with the coordination of group, MICE, and event enquiries.
  • Support the preparation of event proposals, quotations, and function documentation.
  • Ensure confirmed event details are accurately recorded and communicated to the relevant hotel departments.
  • Assist with updating event information, room requirements, menus, AV requirements, and accommodation details.
  • Liaise with Reservations, F&B, Events and Operations teams to ensure information is communicated accurately.
  • Assist with preparing event documentation and operational information for confirmed business.
  • Provide administrative support throughout the event planning process.

Sales & Marketing Support

  • Assist with the preparation of sales presentations, client communications, and promotional materials.
  • Support the Sales team with client entertainment, networking events, trade shows, and sales activities.
  • Assist with maintaining sales collateral and ensuring information is current and on brand.
  • Support the team with market research, competitor research and identifying potential business opportunities.
  • Assist with maintaining databases of corporate clients, agencies, PCOs, DMCs, TMCs and other relevant contacts.
  • Support the coordination of sales campaigns and initiatives as required.

General

  • Work collaboratively with Sales, Revenue, Reservations, Marketing, F&B and Hotel Operations.
  • Ensure all client information is handled accurately and professionally.
  • Maintain a high level of attention to detail across all administrative and sales activities.
  • Contribute to a positive, collaborative, and high-performing Sales & Marketing team.
  • Follow all hotel policies, procedures, and brand standards.
  • Undertake other reasonable duties as required to support the Sales team and hotel.

Qualifications

You are organised, enthusiastic and customer-focused, with a genuine interest in building a career in hospitality sales.

You enjoy working in a fast-paced environment, are comfortable managing multiple priorities and take pride in getting the details right. You will be a confident communicator who enjoys working with people and supporting a busy commercial team.

You do not necessarily need extensive hotel sales experience. We are looking for someone with the right attitude, strong organisational skills, and a willingness to learn.

Ideally, you will have:

  • Previous experience in administration, customer service, hospitality, sales support, events, or a similar role.
  • An interest in developing a career within hotel sales and hospitality.
  • Strong organisational and time management skills.
  • Excellent attention to detail and accuracy.
  • Strong written and verbal communication skills.
  • A professional and confident manner when communicating with clients and colleagues.
  • The ability to manage multiple tasks and prioritise effectively.
  • A proactive, positive, and solutions-focused approach.
  • Strong computer skills and confidence learning new systems.
  • Experience with CRM (Ivvy), Opera, iVvy or similar systems is advantageous but not essential.
  • Previous experience within a hotel or hospitality environment is advantageous.
  • A genuine passion for hospitality and delivering excellent client experiences.
  • A collaborative approach and willingness to support the wider Sales & Marketing team.
