The Opportunity
Mosaic is seeking an Operations Administrator to work out of our Nanaimo office on Vancouver Island, British Columbia.

The Role
Reporting to the Operations Accounting Manager, the Operations Administrator will support operations and the finance team by overseeing contract administration and daily load production accuracy, completeness, and associated pay. Specific responsibilities include but are not limited to:

  • Utilize company applications to manage contracts and oversee their complete execution;
  • Manage vendor holdbacks and ensure proper accounting;
  • Handle insurance requests, WSBC, and interactions with external parties;
  • Account for road construction activities and create internal invoices and road metrics;
  • Create and maintain Log Inventory Management System (LIMS) contracts;
  • Generate invoices using accounting software or templates;
  • Support annual audit and ad hoc operations reporting requests and maintaining financial system accounts related to contractor holdbacks and advances; and
  • Support continuous improvement initiatives.

What We’re Seeking:

  • Post Secondary education in a related field or equivalent;
  • 2 + years of administrative office experience, data entry or contract administration experience;
  • Strong attention to detail and analytical skills;
  • Strong verbal, written and interpersonal communication skills;
  • Microsoft Office and Adobe PDF skills will be considered an asset;
  • Proficiency in operations systems, such as Microsoft Dynamics AX, 3Log LIMS and Cobblestone, will be considered an asset; and
  • Forestry and/or Accounting experience will be considered an asset.

Compensation The annual salary range for this position is $50,00 to $62,000. Individual compensation is commensurate with skill, relevant experience, and education.
