We are looking for an active team player to provide secretarial and administrative assistance to the Chief Digital Officer whilst maintaining utmost confidentiality in all bearings thereby, ensuring the effective functioning of the assigned duties to facilitate the accomplishment of the CDO’s executive functions.
Key Responsibilities:
- Manage CDO’s Calendar by closely following up on the appointments scheduled whilst, coordinating with the relevant internal/ external parties to arrange same and attend to all routine and non-routine correspondence, confidential correspondence independently or with Exco Director advice whilst handling the CDO’s emails with utmost confidentiality and efficiently.
- Schedule and follow up on relevant meetings of CDO and prepare meeting minutes as and when the need arises and forward same to the relevant persons and follow up on any action plans/items in a timely and accurate manner.
- Coordinate and monitor all visits (internal and overseas) of the Exco Director in an efficient and effective manner, liaising with relevant persons (internally and externally) such as travel coordinators, Finance team, business stakeholders, transport services, insurance on matters.
- Perform duties such as the following to assist the administrative functions of the team,
- Maintain confidential/ general files and records via an efficient and user-friendly filing system.
- Generate ad hoc reports as advised by the CDO.
- Prepare ad hoc letters/ correspondence as and when required.
- Follow up on all Legal contracts to meet all legal requirements in a timely and effective manner.
- Assist in organizing company functions/ events, by liaising and coordinating with relevant parties (both internal and external) on logistical arrangements in a timely and efficient manner.
- Obtain stationary requests on a monthly basis and ensure the timely ordering of same in order to fulfil the stationary requirements of the department.
- Responsibility for managing corporate visits, events, organizing board meetings and other stakeholder meetings where relevant.
- Regular interaction with the EXCO and senior leadership to priorities key decisions that need the CDO’S direction and organize special forums when relevant.
- Projects and special assignments as mutually agreed upon with CDO and senior leadership.
- Ensure compliance with the defined governance framework including upholding the MAS DNA, following group/company polices procedures*, best practices (where the group/company policies and procedures are not defined), relevant laws regulations and undertake every necessary action to comply with the governance framework.
Knowledge and Skills:
- Degree in Business Management/ Administration or other relevant qualifications.
- 5-6 years of work experience in a similar capacity.
- Proficiency in English
