We are looking for a Mechanical Estimator for a commercial ventilation, ductwork and HVAC contractor based in the UK. Working remotely as an integral member of the team, you will prepare accurate, commercially robust estimates, collaborate closely with Project Managers, and help drive successful project outcomes through technical expertise, attention to detail and sound commercial judgement.

  • Prepare detailed estimates for commercial ventilation, ductwork and broader mechanical-services projects.

  • Review mechanical drawings, specifications, schedules, tender documents and other project information.

  • Undertake accurate quantity take-offs for labour, materials, plant, equipment and mechanical components.

  • Interpret proposed mechanical designs and determine how installations will be practically delivered.

  • Calculate project requirements, including labour hours, material quantities, equipment, access requirements, subcontracted works and ancillary costs.

  • Obtain and evaluate supplier and subcontractor quotations where required.

  • Apply appropriate labour rates, productivity allowances, material costs and commercial considerations.

  • Produce clear, well-supported estimates for review and sign-off by the relevant Project Manager.

  • Revise estimates in response to design changes, updated information or Project Manager feedback.

  • Maintain complete and organised estimating records, take-offs, quotations, assumptions and supporting documentation.

  • Assist with the handover of successful estimates to the relevant Project Manager.

  • Technical Review & Scope Assessment Assess drawings and project information for constructability, completeness and technical consistency.

  • Understand how ventilation, ductwork and associated mechanical systems connect and operate within the proposed installation.

  • Identify installation constraints, access requirements, sequencing issues and coordination risks that may affect cost or delivery.

  • Recognise omissions, discrepancies and unclear scope requirements and raise appropriate technical queries.

  • Ensure estimates account for relevant UK requirements, client standards and accepted industry practices.

  • Apply practical mechanical knowledge when assessing installation methods, labour requirements and project durations. Where required, support estimates involving wider mechanical-services packages beyond the company’s core ventilation and ductwork scope.

  • Work closely with six Project Managers to understand project scope, technical requirements, client expectations and required turnaround times.

  • Seek clarification when drawings, specifications or tender information are incomplete or ambiguous.

  • Clearly communicate assumptions, qualifications, exclusions and commercial risks.

  • Respond promptly to Project Manager feedback and incorporate agreed amendments before estimates progress.

  • Manage estimating requests from multiple Project Managers while maintaining accuracy and meeting deadlines.

  • Develop a detailed understanding of established clients, their sites, commercial expectations and preferred delivery methods.

  • Support Project Managers by reducing the amount of routine estimating and take-off work they are required to complete.

  • Operate as an integrated member of the company despite working remotely.

  • Commercial Accuracy & Margin Protection Compliance & Confidentiality Ensure estimates capture all relevant labour, materials, plant, equipment, subcontractor costs and project-specific requirements.

  • Identify potential omissions, underpricing risks and cost exposures before estimates are submitted.

  • Balance competitive pricing with the need to protect project profitability.

  • Consider the complexity and compliance requirements associated with government, transport, retail, warehouse and other sensitive commercial environments.

  • Support the ongoing development of estimating templates, cost databases and internal pricing processes.

  • Apply feedback from Project Managers and completed projects to improve the accuracy of future estimates.

  • Handle sensitive project drawings, specifications and commercial information securely and confidentially.

  • Follow company procedures relating to document control, data security and access to restricted project information.

  • Recognise when projects involve enhanced security, vetting or compliance requirements and ensure associated delivery considerations are reflected in estimates.

  • Maintain discretion when working with government, transport, defence-related or other security sensitive project information.

  • Comply with any background screening, confidentiality or project-specific security requirements applicable to the position.

  • Other role-specific duties as they arise.

Requirements

  • Previous UK industry experience, including familiarity with UK project documentation, working practices and regulatory requirements.
  • A degree, diploma in Mechanical Engineering, Building Services Engineering, HVAC, Ventilation, Plumbing or a closely related discipline.
  • Experience in commercial ventilation and ductwork systems, within government buildings, major retail or warehouse facilities, rail infrastructure or large transport stations.
  • A strong mechanical engineering, mechanical building-services or mechanically trained trade background.
  • Experience undertaking detailed quantity take-offs from mechanical drawings, specifications and schedules.
  • Ability to accurately calculate labour, materials, plant, equipment, access and other project requirements.
  • Experience reviewing mechanical designs and assessing constructability and installation methodology.
  • Ability to identify incomplete information, technical inconsistencies, scope gaps and pricing risks.
  • Experience pricing sizeable and technically complex commercial projects.
  • Ability to manage multiple estimates and work effectively with several Project Managers.
  • Strong written and verbal English communication skills.
  • Confidence asking technical questions and clearly communicating estimating assumptions and concerns.
  • Strong numerical ability, attention to detail and commitment to accuracy.
  • Excellent organisation, document control and deadline-management skills.
  • Ability to work independently while remaining closely integrated with a UK-based team.
  • Competence using Microsoft Excel and relevant take-off, estimating and document-review software.
  • Ability to maintain strict confidentiality when handling commercially or operationally sensitive information.
  • Exposure to projects delivered for Tier 1 contractors, facilities-management organisations, schools or MOD sites.
  • Experience working with established clients and applying account-specific pricing, standards and turnaround expectations.
  • Experience obtaining and commercially evaluating UK supplier and subcontractor quotations.
