Job Summary: Under the direction of the Human Resources Manager and in collaboration with relevant country office teams, the HR and Admin Officer provide day-to-day support for Human Resources and administrative functions within Water Mission Tanzania. The position supports the effective and timely delivery of HR services across the employee lifecycle, including recruitment, onboarding, employee records, leave and benefits administration, performance management, staff training and development, employee relations documentation, and offboarding.
The role also provides administrative support to facilitate the efficient operation of the Tanzania office, including maintaining records, coordinating office supplies and services, supporting meetings and events, and following up on assigned administrative requirements. The position requires a high level of organization, attention to detail, confidentiality, professionalism, and commitment to providing excellent service to employees and other stakeholders.

This is a full-time position based in and requires residency in or near the office. The position may require periodic travel to areas where Water Mission Tanzania programs operate.
A Successful HR and Administration Officer will:
1.0 Mission and Organizational Alignment
• Maintain a strong Christian witness and model servant leadership to colleagues, partners, the communities we serve, and the public.
• Study, embrace, and demonstrate Water Mission’s mission, vision, values, and standards in all areas of work.
• Support adherence to Water Mission policies, procedures, and organizational standards.
• Demonstrate integrity, professionalism, discretion, and confidentiality in handling employee and organizational information.
2.0 Recruitment and Onboarding Support
• Provide administrative support throughout the recruitment and selection process.
• Assist with interview scheduling, candidate communication, and preparation of interview materials.
• Coordinate onboarding schedules and induction arrangements for new employees.
• Coordinate with relevant departments to support workspace, equipment, systems access, and other onboarding requirements.
3.0 Leave, Benefits, and Employee Support
• Support the administration of employee leave and maintain accurate leave records.
• Support employee enrollment and updates for medical insurance, life insurance, and other approved employee benefits.
• Liaise with benefit providers on routine administrative matters as directed.
• Maintain accurate benefits records and supporting documentation.
• Assist with employee welfare, engagement, recognition, and staff-care activities.
4.0 Employee Relations and Compliance Support
• Provide administrative support for employee relations processes as directed by the Human Resources Manager.
• Assist with scheduling meetings and preparing and maintaining documentation relating to disciplinary matters, grievances, performance processes, investigations, and hearings.
• Maintain employee relations records securely and confidentially.
• Assist with collecting and organizing HR documentation required for audits and compliance reviews.
• Maintain HR compliance trackers and follow up on assigned actions.
5. Office Administration:
• Manage the front office and supervise reception services.
• Ensure maintenance of office infrastructure, equipment, and cleanliness.
• Maintain effective records for office supplies and utility services.
• Ensure the safekeeping of office, vehicle, and organizational keys.
• Take accurate notes during staff meetings and share summaries with leadership.
• Follow up on invoices, receipts, and parcel deliveries.
• Ensure safe custody of keys for the office, cars, post office, and organization keys.
• Distribute and control all office materials and reconcile them monthly.

  1. Logistical Support for Water Mission Personnel
    • Plan and coordinate travel and accommodation for local and international Water Mission personnel.
    • Schedule drivers for airport pickups, project visits, and town runs.
    • Ensure safety, punctuality, and cost-effectiveness in all travel arrangements.

  2. Vehicles and Fleet Management
    • Maintain up-to-date vehicle records, including insurance, registration, and service logs.
    • Coordinate routine maintenance and repairs with service providers.
    • Monitor and report on fuel consumption, usage logs, and cost control.
    • Supervise drivers and track usage schedules to ensure efficient vehicle deployment.
    • Utilize technology tools or software systems to track vehicles, manage maintenance schedules, and monitor fleet performance.
    8.0 General Support and Reporting
    • Maintain HR and administration trackers and provide routine updates to the Human Resources Manager.
    • Assist in preparing HR and administrative reports and information requested by management.
    • Support implementation of Regional and Global Human Resources initiatives within Tanzania as directed.
    • Follow up on assigned HR and administrative actions to ensure timely completion.
    • Perform other duties as assigned.
    What is Required?
    • Alignment with Water Mission’s Statement of Faith and core values of Love, Excellence, and Integrity.
    • Diploma or bachelor’s degree in Human Resources, Business Administration, Management, or a related field.
    • A minimum of 2–3 years of relevant experience in Human Resources, administration, or a related support role.
    • Previous experience in an NGO or international organization is preferred.
    • Basic working knowledge of Human Resources practices and Tanzania employment requirements.
    • Experience supporting recruitment, employee records, leave, benefits, or other HR processes is preferred.
    • Good verbal and written communication skills.
    • Fluency in English and Kiswahili.
    • Strong interpersonal and customer-service skills.
    • Excellent organizational skills and attention to detail.
    • Ability to prioritize tasks, follow through on assignments, and meet deadlines.
    • Ability to work effectively both independently and as part of a team.
    • Demonstrated integrity, professionalism, discretion, and ability to maintain confidentiality.
    • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
    • Ability to quickly learn Water Mission’s HR information and talent management systems.
    • Ability to maintain accurate records and prepare clear routine correspondence and reports.
    • Ability and willingness to travel periodically to areas where Water Mission Tanzania programs operate.
    • Legal authorization to work in Tanzania without sponsorship.
    • Commitment to growing in the values and mission of Water Mission and contributing to ending the global water crisis.
