Applicants seeking short-term or part-time work with the University of Hawai‘i may apply for Casual Hire positions, which include administrative, professional, and technical (APT) or instructional-type positions. Because of the temporary nature of these appointments, Casual Hire employees are not eligible for most benefits provided to regular Board of Regents (BOR) and Civil Service employees (i.e. paid holidays/leave). Casual Hire appointments may last for up to 89 days for full-time employees, and up to 1 calendar year for part-time employees.

Duties and Responsibilities

  1. *Assists the Director in strategic planning and implementing activities aligned with Center goals and university policies.
  2. *Coordinates and resolves operational and administrative matters in accordance with current policies, procedures, and directives.
  3. *Manages administrative and financial operations for instruction, research, and outreach initiatives, including program planning and public communications.
  4. *Assists in relaying general information on Philippine Studies-related coursework, scholarships, language programs, and overseas study opportunities.
  5. *Oversees Center communications, digital outreach, and information dissemination. Executes the development and maintenance of the newsletter, listserv, and social media.
  6. *Designs and maintains databases of faculty, courses, and program activities.
  7. *Supports professional development opportunities
  8. *Plans and executes professional events, such as seminars, workshops, symposia, and conferences; supports communication endeavors of the Center, which may occur after business hours and/or on weekends.
  9. *Collaborates with internal and external stakeholders, including university faculty, students, alumni, public agencies, and key community and diplomatic organizations (e.g., the Philippine Consulate General in Honolulu and the Filipino Community Center), to drive the Center’s mission and objectives.
  10. *Attends relevant local, national, and international meetings to promote CPS activities and interact with other educational, program, and outreach coordinators.
  11. *Keeps abreast of University, State, and Federal rules, practices, and policies which are applicable to the CPS’s academic, research, and outreach endeavors.
  12. *Works closely with the Director(s) of the Center for Philippine Studies and supervises students, graduate assistants, and other staff.
  13. Assists in language translation of communications and educational materials through the use of technology or other means.
  14. Performs other duties as assigned.

Minimum Qualifications

  • Possession of a baccalaureate degree in Arts and Sciences, Education, Business Administration or related field and three (3) years of professional experience with responsibilities for program and administrative management; or any equivalent experience and training.
  • Demonstrated capacity to carry out responsibilities involving fiscal administration and matters dealing with confidentiality.
  • Demonstrated ability to plan, organize, and market events and programs, and carry out communication endeavors in both print and online media.
  • Demonstrated ability to leverage technology as a tool for developing and maintaining administrative, planning, programmatic management (i.e. databases, spreadsheets), and communication systems (i.e. Newsletter, listserv, social media).
  • Demonstrated ability to work with individuals with diverse demographic populations and cultures in a multicultural environment.
  • Possession of strong interpersonal, communication, and organizational skills.
  • Ability to work nights and weekends, and travel to meetings and program-related events.

Desirable Qualifications

  • Advanced degree in Asian Studies, Philippine Studies, Philippine Languages, Ethnic Studies, American Studies, Education, Communications, Public Administration, Business Administration or related field.
  • Beginner or other functional competence in Philippine languages.
  • Considerable knowledge and experience with Philippine cultures and/or Filipino diasporic communities.
  • Particular knowledge and/or experience in preparing grant applications and grant reports concerning the U.S. Title VI funding or other federal, private, or state agencies.
  • Experience traveling and/or living in the Philippines or in the Filipino diasporic community.
  • Familiarity with Native Hawaiian, Asian, and Pacific regional localities, drawing upon travel, residence, or academic studies.
  • Demonstrated ability to work in a multicultural environment involving international connections, particularly with regards to Hawaii, Asia, and the Pacific.
  • Experience in working with administrative operations, policies, procedures, and laws involved in higher education or government.
  • Familiarity with university policies, strategic goals, and core values.
  • Familiarity with University of Hawaii financial management systems.
