About the Role

The Policy Contracts & Documentation Executive supports the accurate and timely drafting, issuance, maintenance and governance of client policy documentation for Global Health Benefits. The role works across new business, renewals, contractual amendments and product or regulatory changes, ensuring documents reflect approved benefits, rates, terms and conditions and applicable legal or regulatory requirements.

Key Responsibilities

Policy Drafting and Issuance

  • Draft and issue complete policy contracts for new business and renewing clients where required, including annual policies for Swiss clients in line with applicable regulatory requirements.
  • Prepare renewal documentation and endorsements covering approved changes to benefits, rates, profit-share arrangements and Service Level Agreements (SLAs).
  • Complete policy issuance within the agreed turnaround time, while recording and managing any approved internal or external pend periods.
  • Attend implementation, renewal and other business calls to clarify requirements and support accurate document preparation.
  • Manage post-issuance activity, including client-requested amendments, contract negotiation support, re-issuance and confirmation of acceptance.

Product and Contract Change Management

  • Support annual and ad hoc product-development and Terms and Conditions (T&C) reviews.
  • Review and manage change requests, coordinate stakeholders, assess proposed amendments and provide policy or contractual input to product specifications.
  • Update policy agreement templates for small and large corporate clients following approved changes.
  • Draft Notices of Amendment (NOAs), trustee briefings and related client communications in partnership with Product Management and Marketing.

Quality, Governance and Stakeholder Support

  • Proofread policy documents to confirm accuracy, consistency and alignment with approved contractual wording before publication or release.
  • Liaise with Legal Counsel, Compliance, Product Management, Marketing, Sales, Client Management, Underwriting, Billing, Finance and onboarding teams to resolve technical or contractual queries.
  • Ensure onboarding teams receive current policy templates, NOAs and associated fulfilment materials.
  • Provide clear technical guidance on policy T&Cs and escalate complex legal, regulatory or financial matters to the appropriate subject-matter expert.

Operational Control and Reporting

  • Monitor the team mailbox daily and log new-business and renewal sign-offs requiring policy or contract issuance.
  • Maintain policy and follow-up logs, including assignments, due dates, pend reasons, issue dates, acceptance status and post-policy work.
  • Reconcile the policy log against relevant client or sales records to identify missing instructions and reduce the risk of missed or late policy issuance.
  • Track performance against Key Performance Indicators (KPIs), turnaround times and quality requirements, and escalate risks promptly.
  • Maintain a clear audit trail of approvals, contractual changes, issued documents and client or broker confirmations.

Projects and Continuous Improvement

  • Contribute policy expertise to product, network, regulatory, system and operational-change projects.
  • Assess downstream impacts on contracts, policy wording, templates, member materials, controls and fulfilment processes.
  • Recommend process improvements that strengthen document accuracy, regulatory compliance, governance and delivery efficiency.
  • Support testing, implementation-readiness activities and updates to documented procedures or knowledge content.

Candidate Profile

Education and Experience (Mandatory)

  • Bachelor’s degree or equivalent relevant experience.
  • Minimum 3 years of hands-on experience drafting, reviewing, issuing, or managing policy contracts, insurance documentation, legal agreements, endorsements, or contractual documentation within a regulated environment.
  • Experience withininsurance, employee benefits, healthcare insurance, financial services, banking, legal services, pensions, reinsurance, or another highly regulated industry.

Knowledge and Technical Skills

  • Strong understanding of policy documentation, contract structures, endorsements and document-control principles.
  • Ability to interpret legal, regulatory, product and operational requirements and identify inconsistencies or gaps.
  • Excellent written English, proofreading and document-drafting skills, with close attention to terminology, formatting and version control.
  • Strong working knowledge of Microsoft Word, Excel, Outlook and collaboration or document-management platforms.
  • Ability to maintain accurate trackers, analyze workflow data and produce clear status or performance updates.
