  • DURATION: 12 months (renewable)

BACKGROUND AND PURPOSE OF THE ASSIGNMENT:

This position is required to provide dedicated administrative support to the Middle East, North Africa and Eastern Europe Regional Director's Office (RDO), particularly the DRD, and Desk Officers team, along with supporting Regional Director front office functions. The role supports multiple administrative tasks, coordination with corporate services, organization of meetings and events, and maintenance of key tracking and filing systems.

ACCOUNTABILITIES/RESPONSIBILITIES:

  • Provide general administrative and logistical support to the RDO, including the Deputy Regional Director, Special Assistant, Desk Officers, and front office functions.
  • Gather, organize, and analyze information to support the preparation of correspondence, briefings, and documentation, under the guidance of the DRD and Desk Officers.
  • Coordinate with outposted technical functions (e.g., travel, HR, ICT, finance) to follow up on service requests and ensure timely resolution of administrative issues for RDO staff.
  • Manage and maintain filing systems and shared drives to ensure accessible, up-to-date records of administrative and operational information.
  • Draft routine communications and support proofreading of documents to ensure quality and consistency.
  • Support organization of RDO-led meetings and events, including logistics, documentation, and follow-up.
  • Maintain up-to-date tracking tools for travel, leave, and administrative workflows, and flag inconsistencies or delays to the Deputy Regional Director.
  • Review data entries or reports for minor discrepancies and escalate to senior staff when required.
  • Provide informal guidance to junior support staff or interns on administrative procedures and standards.
  • Contribute to a supportive and collaborative working environment, responding to queries and feedback from colleagues in a professional manner.
  • Perform other duties as required.

QUALIFICATIONS & EXPERIENCE REQUIRED:

Education:

First university degree in Business Administration or relevant field.

Experience

Five or more years of progressively responsible work experience in the relative business stream with experience in general administrative work.

Languages:

Fluency (level C) in English and Arabic language.

Knowledge and skills

  • Knowledge of specialized common business practices and methods, gained through relevant technical training and experience.
  • Ability to develop and maintain relationships with a range of individuals in order to provide a high-quality support service.
  • Ability to carry out basic data analysis and independently rectify problems requiring attention.
  • Ability to monitor and record financial transactions.
  • Good communication skills required to give and receive information and work with a variety of individuals.
  • Ability to maintain confidentiality.
