Role Summary
The Contingent Workforce Talent Acquisition Specialist is responsible for the end-to-end hiring, onboarding, and lifecycle management of contingent workers. The role partners closely with hiring managers, suppliers, HR, Finance, and other stakeholders to ensure contingent workforce activities are delivered efficiently, compliantly, and in alignment with business priorities.
The position supports workforce planning, contractor operations, financial controls, reporting, and process improvement initiatives, helping to maintain an effective and scalable contingent workforce program.
Key Responsibilities
Contractor Hiring & Onboarding
- Manage the end-to-end recruitment process for contingent workers, including requisition intake, sourcing coordination, interview scheduling, offer management, and onboarding.
- Partner with hiring managers and suppliers to ensure timely fulfilment of contractor requirements.
- Coordinate contractor onboarding activities, ensuring documentation, system access, and compliance requirements are completed.
- Manage contract extensions, renewals, and offboarding activities.
Stakeholder Management & Workforce Planning
- Act as a trusted advisor to hiring managers and business stakeholders on contingent workforce processes and best practices.
- Support workforce planning activities by providing guidance on contractor demand, resource requirements, and upcoming workforce needs.
- Facilitate communication between business stakeholders, suppliers, HR, and Finance teams.
Contractor Operations & Compliance
- Maintain accurate contractor records, including headcount, tenure, contract end dates, and extension activity.
- Ensure compliance with company policies, contingent workforce governance standards, and local employment regulations.
- Manage contractor documentation and approval processes.
- Identify and mitigate risks associated with contingent workforce engagements.
Purchase Order & Invoice Management
- Manage purchase order creation, tracking, and maintenance for contingent workforce engagements.
- Partner with Finance and suppliers to ensure timely and accurate invoice processing.
- Monitor contractors spend against approved budgets and identify discrepancies or risks.
- Maintain appropriate financial controls and support audit readiness activities.
Reporting & Data Insights
- Produce reporting and analysis relating to contractor hiring, workforce trends, utilisation, tenure, and spend.
- Develop dashboards and provide insights to support workforce planning and decision making.
- Monitor key program metrics, including time-to-fill, extension rates, contractor tenure, and supplier performance.
- Ensure data integrity across contingent workforce reporting.
Systems & Process Improvement
- Maintain accurate data within Workday and other workforce management systems.
- Support continuous improvement initiatives to enhance contingent workforce processes, controls, and user experience.
- Identify operational inefficiencies and recommend solutions that improve speed, quality, compliance, and stakeholder satisfaction.
Knowledge, Skills & Experience
Education
- Bachelor's Degree in Human Resources, Business Administration, or a related discipline, or equivalent experience.
Experience
- Experience in Talent Acquisition, HR Operations, Contingent Workforce Management, or a related field.
- Experience managing end-to-end recruitment or workforce operations processes.
- Experience working with staffing suppliers, managed service providers, or external workforce partners.
- Experience using HRIS platforms, preferably Workday.
